Who we are:

Promote Ukraine is a Brussels based, non-profit media, civil society and advocacy organisation that was established in 2014 to help Ukraine and Ukrainians and prepare the European future of Ukraine.

Our 100+ volunteers organised more than 70 demonstrations, held more than 50 closed-door meetings with top policymakers, donated humanitarian aid of more than 300,000 Euro, and supported more than 5,000 Ukrainian refugees in Belgium. Our help reached more than 33,000 people in Belgium and Ukraine. Our following on social media totals 150,000 people, and we have proudly received a European Citizen’s Prize in 2022 for our exceptional achievements in supporting Ukraine and its people.

Your Mission:
Manage and grow the human capacity of one of the biggest pro-Ukrainian NGOs in the EU.

Your Responsibilities:
• Internal matters;
• Manage internal organisation-wide meetings & chats (agenda planning, sending out invitations; drafting minutes, follow up);
• Develop and implement the communications policy and training for volunteers and members;
• Organise internal events for volunteers and members (team building, strategic sessions);
• Manage internal documentation (volunteering contracts, agreements, etc.);
• Create and maintain volunteers database;
• Work out and implement a strategy for volunteer recruitment, onboarding, and engagement;
• Act as the HR point of contact and cooperate with the Board of Directors and Leads of teams;
• Report to the President of Promote Ukraine;
• Basic office management.

External matters:
• Cooperation with government authorities (local communes, diplomatic representatives);
• Consultation with external accountants and/or lawyers.

HR matters:
• Monitor and ensure internal compliance with local labor laws, regulations, and internal policies in Belgium;
• Develop, implement, and continuously improve HR compliance programs to align with local legislation;
• Maintain and update HR-related documents;
• As part of the corporation-wide HR leadership team, participate in discussion, evaluation, and execution of organisation-wide HR initiatives.

Your Skills, Knowledge & Expertise:
• Language skills: Ukrainian, English + French or Dutch is a plus;
• Excellent communication and interpersonal proficiency;
• Problem-solving and mediation skills;
• Demonstrated expertise in managing HR processes;
• Strong analytical skills and exceptional organisational and project management abilities;
• Cross-cultural competence: skilled in working effectively with diverse teams, understanding and respecting cultural differences, and adapting communication and processes accordingly;
• Enthusiasm, positive attitude, high level of professional ethics;
• Deadline and detail-oriented with a strong focus on accuracy in reporting and documentation;
• Proven experience in HR processes and policies;
• Proven ability to manage groups of volunteers.

• Salary starts between 3500 – 3800 euro gross with potential increase;

Manage and grow the partnership and fundraising potential of one of the biggest pro-Ukrainian NGOs in the EU.

Your Responsibilities:
• Create and maintain partnerships database;
• Develop and implement the communications strategy for partnership and fundraising in Belgium and internationally;
• Ensure participation of partners in the events of Promote Ukraine;
• Organise partnership and fundraising events;
• Manage external documentation (agreements, memorandums, NDAs);
• Be responsible for engaging new and maintaining existing contacts with partners;
• Implement communication with existing and potential partners;
• Cooperation with government authorities, municipalities, diplomatic representatives, corporations, and other NGOs;
• Report directly to the President of Promote Ukraine.

Your Skills, Knowledge & Expertise:
• Language skills: English, French, Dutch as a must, German and Ukrainian as a plus;
• Exceptional negotiations skills;
• Excellent writing (email and letters exchange) skills;
• Excellent communication and interpersonal proficiency;
• Good organisational and project management abilities;
• Cross-cultural competence: skilled in working effectively with diverse teams, understanding and respecting cultural differences, and adapting communication and processes accordingly;
• Detail-oriented with a strong focus on accuracy in reporting and documentation;
• Proven experience in fundraising;
• Proven ability to manage groups of volunteers.
