Who we are
We are the Promote Ukraine – non-profit start-up, striving on a pro bono basis to give voice to Ukrainian civil society in Europe and throughout Belgium.
You are not required to give us any personal data in order to use our website. However, when you interact with us through our website (or otherwise) you may provide, or we may collect, certain information from which you are personally identifiable (which is referred to as personal data).
For the purposes of the General Data Protection Regulation or “GDPR”, we are the “data controller”, meaning that we are responsible for deciding how your personal data is used and more importantly, for keeping your data safe and only using it for legitimate reasons. We are committed to protecting your privacy and will take all steps necessary to comply with our legal obligations when using your personal data.
What personal data we collect and why we collect it
- Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
- Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
- Subscription to our newsletter
On the website of Promote Ukraine, users may subscribe to our newsletters – PU Bulletin. The input mask used for this purpose determines what personal data are transmitted, as well as when the newsletter is ordered from the controller.
Promote Ukraine informs its partners and anyone else interested in its activities regularly by means of a newsletter. The newsletter may only be received by the data subject if (1) the data subject has a valid e-mail address and (2) the data subject registers for the newsletter shipping. A confirmation e-mail will be sent to the e-mail address registered by a data subject for the first time for newsletter shipping, for legal reasons, in the double opt-in procedure. This confirmation e-mail is used to prove whether the owner of the e-mail address as the data subject is authorized to receive the newsletter.
The personal data collected as part of a registration for the newsletter will only be used to send our newsletter. In addition, subscribers to the newsletter may be informed by e-mail, as long as this is necessary for the operation of the newsletter service or a registration in question, as this could be the case in the event of modifications to the newsletter offer, or in the event of a change in technical circumstances. As we use MailChimp as our marketing automation platform, subscribers acknowledge that the information they provide in order to receive our newsletters will be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms. There will be no other transfer of personal data collected by the newsletter service to third parties. The subscription to our newsletter may be terminated by the data subject at any time. The consent to the storage of personal data, which the data subject has given for shipping the newsletter, may be revoked at any time. For the purpose of revocation of consent, a corresponding link is found in each newsletter. It is also possible to unsubscribe from the newsletter at any time directly on the website of the controller, or to communicate this to the controller in a different way.
- Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
- Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

- Analytics
On this site, the only analytics gathering service we use is Google and Facebook Analytics. These are set for monitoring and tracking visitors behavior on the site.
Who we share your data with
We don’t share your data with third-parties in a way as to reveal any of your personal information like email, name, etc.
How long we retain your data
We endeavor to only collect personal data that are necessary for the purposes for which they are collected, and to retain such data for no longer than is necessary for such purposes.
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
You have the right to:
- information about the processing of your personal data;
- obtain access to the personal data held about you;
- ask for incorrect, inaccurate or incomplete personal data to be corrected;
- request that personal data be erased when it’s no longer needed or if processing it is unlawful;
- object to the processing of your personal data for marketing purposes or on grounds relating to your particular situation;
- request the restriction of the processing of your personal data in specific cases;
- receive your personal data in a machine-readable format and send it to another controller (‘data portability’);
Where we send your data
Visitor comments may be checked through an automated spam detection service.
How we protect your data
We take appropriate measures to ensure that all personal data is kept secure including security measures to prevent personal data from being accidentally lost, or used or accessed in an unauthorised way. We also have procedures in place to deal with any suspected data security breach.
Unfortunately, the transmission of information via the internet is not completely secure, but we will do our best to protect your personal data.
What data breach procedures we have in place
In the case of a personal data breach, we notify the proper supervisory authority within 72 hours of becoming aware of it.
What policies are in place to protect younger users
If you are 16 years old or younger, you are required to obtain parental consent. If you have not entered your age, you will be prompted to verify that you are over 16 or have obtained parental consent.
What automated decision making and/or profiling we do with user data
We do not use automatic decision-making or profiling.
